General Terms & Conditions – Owl Lodge & Honey Pod
These terms and conditions apply to all bookings at Field House Farm, including Owl Lodge and Honey Pod. By making a booking, you agree to these terms on behalf of all members of your party. If you have any questions before or during your stay, please contact us — we are always happy to help.
Booking, Payment & Deposits
Booking
Any booking made with the required deposit forms a contract between Field House Farm and the lead guest, who accepts these terms on behalf of all members of the party and is responsible for ensuring everyone is aware of them.
Lead guest responsibility
Please check your booking confirmation carefully when you receive it and contact us immediately if anything is incorrect.
Any bank charges incurred by us as a result of dishonoured payments or failed transfers must be reimbursed by the lead guest within 7 days of request.
Deposit
A 20% non-refundable deposit is required at the time of booking. Payment is accepted by bank transfer (BACS) or debit card. Debit card payments must be requested in advance and cannot be taken over the phone.
Balance Payments
The remaining balance is due at least 10 days before arrival, or at the time of booking if your stay is less than 10 days away. An automated reminder will be sent 10 days before arrival to allow time for payment to clear. Once your balance has been received, we’ll update your booking and email confirmation to you. If you haven’t received this confirmation within 8 days of arrival, please let us know.
Refund
Refunds, where applicable, will be processed to the original payment method, excluding any non-refundable amounts.
Cancellations, Changes & Early Departure
Cancellations
If you cancel your booking before the balance due date, the 20% deposit is non-refundable, but no further payment will be required. We reserve the right to cancel a booking if the balance has not been paid at least 7 days prior to arrival, in line with these terms.
Re-letting & admin fee
If you cancel on or after the balance due date, the full balance remains payable. However, we will always try to re-let the cancelled dates and, if successful, any recovered balance will be refunded, less a £20 administration fee.
Changes
Where possible, we are happy to offer a date change to a future stay, provided this is requested before the final balance is due.
Leaving the Accommodation Early
If you choose to leave before the end of your booked stay, please let us know as soon as possible. No refund (pro rata or otherwise) is available in these circumstances.
Owner Cancellation
In the unlikely event that we need to cancel your booking, a full refund will be provided and no further liability will apply. Any additional compensation would need to be claimed through your travel insurance.
We strongly recommend that all guests take out suitable travel insurance.
Adults Only, Occupancy & Pets
Adults Only
All accommodation at Field House Farm is adults-only. Children are not permitted, including day visitors.
Maximum Occupancy
- Owl Lodge accommodates up to 3 adults. The third sleeping area is not always set up and must be requested in advance when booking directly, as this space is normally used for storage and housekeeping equipment.
- Honey Pod accommodates a maximum of 2 adults.
Pets
- Owl Lodge – Up to two small dogs or one large, well-behaved dog are welcome in Owl Lodge by prior arrangement. Dogs must be kept on a lead outdoors and must not be left unattended in the accommodation.
- Honey Pod – Pets are not permitted in Honey Pod.
Check-in & Check-out
Check-in is from 3:00pm on the day of arrival.
Check-out is by 11:00am on the day of departure. Late departure may affect cleaning for incoming guests and may result in a late check-out charge.
Arrival details, including key access, will be provided prior to your stay. Guests are asked not to arrive before the stated check-in time.
Late Arrival Notification
If you expect to arrive after 9:00pm, please notify us in advance.
Gate Access Hours
The main gate is locked between 9:00pm and 9:00am, and access during these hours must be arranged beforehand.
Conduct & Behaviour
Quiet Hours
Guests are asked to be considerate of others at all times. Quiet hours are 11:00pm – 8:00am, and noise should be kept to a reasonable level during the day.
General Behaviour
Any behaviour we consider inappropriate, or any breach of these terms and conditions, may result in termination of the booking without refund.
Right to refuse entry or terminate stay if breached
We reserve the right to refuse a booking or ask guests to leave where the comfort, safety or enjoyment of others may be affected.
Vehicles, Parking & Electric Vehicles
Parking is provided in designated areas only. Please do not park on grass or block access routes.
5mph speed limit applies across the site for the safety of guests, animals and property. Parking and arrival details will be provided prior to your stay.
No EV Charging on site
Electric vehicle charging is not permitted on site due to limited electrical capacity. The nearest public charging point is at York Designer Outlet.
Electricity is provided for normal accommodation use only. Excessive or inappropriate use — including vehicle charging or use of high-load equipment — may be investigated and, where appropriate, charged for.
Fire Safety, BBQs & Outdoor Fires
All accommodation at Field House Farm is strictly non-smoking. Failure to comply may result in a £50 deep-cleaning charge where necessary.
Candles are not permitted inside any accommodation or on decking areas.
Owl Lodge – BBQ may only be used in the designated area provided and must not be moved. Please ensure charcoal is cold before disposing of it, and all BBQs must be fully out by 11:00pm.
For Honey Pod guests, the fire pit may only be used on the patio area provided and must be used responsibly.
Open fires of any kind — including ground fires, disposable BBQs or fire bowls not provided by us — are strictly prohibited elsewhere on the site.
Safety Devices & Alarms
Smoke, heat and carbon monoxide alarms are fitted throughout the accommodation and are tested regularly.
If you hear an intermittent “blip”, this usually indicates a low battery — please let us know as soon as possible so it can be dealt with. Please do not remove alarms or attempt to change batteries yourself. LPG plug-in alarms must not be unplugged, as they are in place for your safety.
Liability, Safety & Property
We take every reasonable care to ensure your stay at Field House Farm is safe and enjoyable. However, we cannot accept responsibility for disruption, loss or damage caused by events beyond our reasonable control, including (but not limited to) fire, flooding, extreme weather, power outages or service failures.
Guests are responsible for their own personal safety and belongings at all times. We cannot accept liability for loss, damage or theft of personal property, vehicles or their contents, or for personal injury, except where required by law.
Guests are expected to take reasonable care of the accommodation and its contents. Any damage, breakages or issues must be reported as soon as possible and paid for where appropriate.
If the accommodation requires cleaning beyond the standard housekeeping service after departure, a deep-clean charge may be applied retrospectively.
Lost Property
Items left behind will be held for up to 7 days. Where return is requested, a postage and packing charge of £10 (subject to size and weight) will apply.
Mobile Phone Signal & Wi-Fi
Due to our rural location, mobile phone signal and Wi-Fi availability, speed and reliability cannot be guaranteed.
Wi-Fi is provided as a complimentary service and is used entirely at your own risk. While reasonable steps are taken to maintain security, we cannot guarantee that the service will be secure, uninterrupted or free from errors or viruses. Please avoid transmitting sensitive or confidential information.
The Wi-Fi service must be used lawfully and responsibly. We reserve the right to suspend access if misuse is identified.
Force majeure
Field House Farm may be unable to meet its obligations under these terms if circumstances arise that are beyond our reasonable control. These may include, but are not limited to, extreme weather, flooding, natural disaster, war, terrorism, civil unrest, industrial action, or public health emergencies.
In such circumstances, we cannot accept liability for disruption, cancellation or changes to your stay. We strongly recommend that guests have appropriate holiday insurance in place.
Reporting an issue
If you experience any problems during your stay, please let us know as soon as possible so we can try to resolve them promptly.
We cannot accept responsibility for issues that were not reported to us during your stay.
Owners’ Access
From time to time, the owners may need access to the accommodation or surrounding areas for maintenance, safety or farm-related reasons.
Unless there is an emergency, we will always aim to give reasonable notice and minimise disruption.
Gates, Fences & Safety
Field House Farm is a working farm with livestock and agricultural infrastructure. Guests must not climb on or interfere with gates, fences or equipment.
Some fences are electrified for livestock control and may cause discomfort if touched. Please report any safety concerns to us immediately.
Hire Period & Length of Stay
The minimum stay is 2 nights. During peak periods or at times of high demand, a longer minimum stay may apply.
We do not accept long-term or extended stays. The maximum length of stay is 20 nights.
Arrival and departure days may vary depending on availability and season.

We cannot accept responsibility for errors or omissions beyond our reasonable control.
