If there are any problems while you stay in Field House Farm, please do not hesitate to contact us and let us know, so we can attempt to put things right. The Terms & Conditions are as follows:

Booking

Check in & Check out

While you stay at Field House Farm


Booking

We want you to enjoy your stay at Field House Farm and we encourage you to read this document before you book to stay. Any booking received, accompanied by the appropriate deposit, represents a contract between Field House Farm and the Customer, binding each to these conditions. The person who makes the booking accepts the contract on behalf of all members of the party and is responsible for making everyone aware of these terms and conditions.

When you receive your booking confirmation you must check the details very carefully. If anything is not correct you should contact us immediately.

Any charges raised against us by our bank for handling dishonoured cheque’s, bank transfers or any other payments, must be reimbursed by the lead guest within 7 days of any request to do so.

Deposit

  • A 20% non-refundable deposit is required upon booking.
  • Payment is preferred by BACS or Debit card. If you pay by cheque your booking will be held for 5 days, pending receipt of your cheque for the deposit/full amount.

Booking Balance

All balances due must be received at least 7 days prior to arrival, or upon booking if the arrival date is less than 7 days away. You should receive an automated reminder e-mail 10 days prior to your arrival date, to allow for any payments to be cleared. Once we have received your balance payment we will update your booking form and e-mail you a copy. If you have not received your updated booking form within 6 days of arrival, please contact us.

Refunds

Payments will be refunded via the same payment method, less any non-refundable deposit and any other non-refundable amounts.

Cancellations

We will, in most circumstances, offer to transfer a booking to a future date before the full balance payment is due if you decide you wish to amend the dates of your stay. If you decide to cancel your holiday before your final balance due date, you will forfeit the 20% deposit, but we will waive your liability for the remainder of the balance. This means that no further amount will be collected from you in such event. Should you cancel on or after your balance due date you will be liable for the full balance of the booking. We will however make every effort to resell dates where bookings are cancelled, and if we are successful in this endeavour, your final outstanding balance would be refunded to you less an admin fee of £20.

We reserve the right to cancel any holiday where the balance has not been paid 7 days prior to arrival, as stated under these booking conditions, without any compensation. Refunds cannot be issued if you leave your holiday early, for whatever reason. In the unlikely event we need to cancel your booking we would offer a full refund then have no further liability to you, should you require further compensation this would be a matter for your travel insurance provider.

We strongly recommend you take out Travel Insurance.

Hire Period and Times

  • Long Weekend breaks have a minimum stay of 3 nights, from Friday to Monday during April – October
  • Midweek breaks are from Monday to Friday (4 nights)

Pets

1 well behaved dog is welcome, to be kept on a lead when outside the Lodge and not to be left alone inside. Other pets by special arrangement, please contact us first

Maximum Occupants

Field House Farm Lodge sleeps up to 3, 2 of which must be adults over the age of 21 and no children under the age of 14.

Children

Field House Farm Lodge is now Adult only, even if visiting for the day.

Website Accuracy

Whilst every care is taken to ensure that the details in our website and online booking system are correct at time of being published, we cannot accept responsibility for errors contained therein or results there-of.


Check in & Check out

Check in

You will receive an e-mail 3 days before your arrival date and this will include information including where you will need to collect the key. Check in is from 3pm on your booked day of arrival.
Please do not arrive any earlier as we will not be able to give you the keys until after 3pm.

Late Arrival

If you expect to arrive after 9pm then you MUST notify us in advance. Failure to do so will be deemed to be a cancellation and Field House Farm Lodge reserves the right to try and re-let the accommodation. Note that the main gate near the house is locked between the hours of 9pm and 9am.

Checkout

  • Checkout time is by 11.00am on the day of departure. Failure to depart on time affects the cleaning schedule for incoming guests and will incur a late departure charge.
  • To help us keep the lodge as clean as it was when you arrived, we politely request that on leaving you ensure;
    • Any dirty crockery or cutlery is loaded in the dishwasher
    • If you have used the Barbeque please leave it clean for the next guest
    • Bins emptied and taken to the Rubbish & Recycling point near the house

Leaving Accommodation early

Should you wish to leave the Accommodation prior to the agreed check out date, for any reason, please notify us as soon as possible. Please note, however, that in this case no refund (pro rata or otherwise) will be available.


While you stay at Field House Farm Lodge

Vehicles

  • Cars may be parked in the gravel area outside the Lodge. No Parking on any grass area is permitted.
  • The speed limit is 5mph and any speeding incidents will be recorded and re-offenders will be required to leave Field House Farm.
  • We are unable to charge electric cars, due to the limited electric supply, the nearest charge point is at the York Designer Outlet

Electricity

The electricity usage for Field House Farm Lodge is monitored by a meter. This will be read before arrival and after departure. If it is deemed that an excessive amount has been used during your stay, you will be contacted and an agreement will be discussed. We do not allow the charging of vehicles and the nearest charge point is at York Designer Outlet.

Gas & Heating

The boiler is serviced annually and provides heating/ hot water for Field House Farm Lodge. If you suspect any smell of gas you must let us know immediately. Please use the thermostat responsibly and not excessively. Help us to reduce our carbon footprint and keep the costs down for heating the Lodge.

Oven & Hob

  • Instructions are provided for use of the electric fan oven and gas hob
  • The hob uses gas and should ignite automatically, please read the instructions if you are unsure and let us know if there are any problems
  • Oven gloves are provided
  • Never leave cooking on the hob, or electrical appliances unattended
  • An extractor hood is fitted so please use this to reduce the amount of steam etc

Carbon Monoxide, LPG, Heat & Smoke Alarms

You will find these fitted in the Lodge, and we test them regularly, however if you hear the tell-tale ‘blip’ of a low battery alert please let us know immediately. We will then replace the battery for you, please don’t attempt to remove the alarms or change the batteries yourself. Do not remove the LPG plugin alarms, they are there for your own safety.

Fire Precautions / BBQs

  • All accommodation is strictly NON-SMOKING. Non-compliance will be seen as a breech of this contract, and a deep cleaning housekeeping charge of £50 will be applied if necessary.
  • Candles – use of candles is not permitted inside accommodation or on the decking.
  • Barbeque – this must be used on the slate area and not moved. To avoid a fire, charcoals must be fully extinguished before placing in bins. All barbecues must be extinguished before 11pm.
  • Open fires, of any nature, are Strictly Prohibited.

Washing Machine & Dryer

A washing machine & Dryer are located near the office, use of which is at your own risk. These are our personal property and there is a £4 charge per wash load or 45 minutes dryer load.

Gates & Fences

No climbing on or over gates or fences. The livestock fields have electric fences to prevent sheep pushing through the wire, if touched you will experience discomfort. Please report any ‘clicking’ noises as this can signify the fence earthing out onto the sheep wire and can cause metal wire to also give a shock.

Ball Games

Strictly no ball games on or near Field House Farm Lodge or any vehicles or caravans. This is due to the damage they can cause to property.

Holiday Home Linen

Pillows/cases, duvet/cover, bed sheets & towels are provided in Field House Farm Lodge. Hand towels for the bathroom & kitchen are provided along with tea towel/s. If there are more than 2 adults staying in the Lodge, you must add a 3rd person to your booking so we can give you access to the 2nd bedroom along with bed linen and towels.

Outdoor Furniture

During inclement weather the outdoor chairs & parasol will be stored in the shed near the Holiday Lodge.

Conduct

  • Please respect others and be quiet before 8am and after 11pm. During the rest of the day the noise should be kept to a minimum to avoid disturbance to other neighbouring guests. Behaviour we deem inappropriate or any breach of these Conditions may result in immediate termination of the booking, without any refund or compensation.
  • Field House Farm Lodge Owners reserves the right to refuse any booking or to ask any persons to leave the Park.
  • We reserve the right to terminate the booking where we feel that the comfort and enjoyment of other guests may be put at risk.

Owners Access to Field House Farm Lodge

There may be occasions where Field House Farm Lodge owners require access to the Lodge during your stay and they retain the right to do so. However, unless there is an emergency we will give advanced notice of this wherever possible. Field House Farm Lodge owners will need to carry out gardening duties during social hours with minimum disturbance to you, where possible.

Liability

While every effort will be made by Field House Farm Lodge Owners to fulfil the contract, except where stated in these Conditions, the owners shall not be liable for any changes, cancellations, effect on your holiday, loss or damage suffered by you or for any failure by us to properly perform any of our obligations to you which is due to any event or circumstance beyond our reasonable control, e.g. fire, flood, exceptional weather, epidemics, and all similar situations. Field House Farm Lodge cannot be held responsible for the failure of water, drainage, electricity or any other mains services beyond our immediate control. Field House Farm Lodge will not be liable for any loss or damage occasioned to any vehicle or belongings, nor for any injury whatsoever to any person whilst on the property. Customers are wholly liable for any repairs, cleaning or replacements required to any property damaged during their stay. Any such damage must be reported and paid for.
After your departure; if the holiday lodge is in need of a deep clean, over and above the normal housekeeping service, we will charge you retrospectively for this service.

Accidents, injury and personal property

The Owners shall have no liability for the death or personal injury to you or any member of your party.
You must take all necessary steps to safeguard your personal property. No liability is accepted with respect of damage to or loss of your personal property.

Lost Property

Items left in the accommodation at the end of your stay will be retained for 7 days only. A minimum postage & packing charge of £10.00 for most items (subject to weight) will apply.

Reporting an Issue

  • We aim to help ensure all our guests have a comfortable and enjoyable holiday. If you have any concerns about your holiday whilst staying with us please let us know immediately and we will respond as soon as possible.
  • We will not be responsible for any matter, which you knew about during your stay but did not inform us about during your stay.

Force majeure

A Force Majeure Event shall have occurred where Field House Farm Lodge is, entirely or partially, temporarily, or permanently, prevented from performing its obligations under these terms and conditions due to circumstances which are beyond the control of Field House Farm Lodge. Such circumstances shall include (but are not limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics/pandemics, health risks or such similar events (“Force Majeure Event”). We recommend that you have adequate holiday insurance in place to cover this.

Mobile phone network & Wi-Fi

Due to the rural location you may experience difficulties with both the mobile phone network and the Wi-Fi. Unfortunately the reason for this is outside our control and we cannot guarantee signal strength or availability and therefore will not be held liable for lack of service.

Wi-Fi Terms and Conditions of Use

  • Field House Farm provides this service and by accessing the service you are agreeing that you have read and agree to the terms and conditions listed below. If you do not agree to the terms, please do not access the service.
  • The use of the service is entirely at your own risk. Whilst we take reasonable steps to ensure the security of the service, we do not guarantee the security of any information sent or received or that any service is error or virus free. We recommend that you do not transmit or receive any confidential data and if you choose to do so, it is completely at your own risk.
  • We do not guarantee the availability or the speed at which information may be transmitted or received.
  • You must not use the service to access or send obscene, unlawful or illegal material. By using the service you are agreeing to act responsibly in a lawful, honest and proper manner.
  • You agree and acknowledge that we may be required to provide assistance and information to law enforcement or other authorities including personal details and IP addresses.
  • Music, videos, pictures and other content on the internet may be subject to copyright and you should not download, alter, email or use such content unless certain that the owner of such works has authorised you to do so.
  • We may terminate or suspend the service if we believe that you are in breach of any of the terms and conditions listed.
  • You agree to compensate us fully for any claims or legal action made against us by someone else because you have used the service in breach of these terms and conditions.
  • We reserve the right to amend these terms and conditions at any time.

Our Right to Cancellation

We reserve the right to cancel any booking without compensation, refund or reimbursement if the terms of these conditions above are breached.
